Registration and re-registration procedure
The duration of the thesis, as defined by the decree of May 25, 2016, is generally 3 full-time equivalent years devoted to research and training.
Registration and/or re-registration for a doctorate must be carried out or renewed at the beginning of each academic year, by logging on to the Internet portal for information, services and communication for doctoral students and doctors (ADUM)
Doctoral registration/renewal is a two-stage process:
- Educational registration with the Doctoral School via ADUM before October 10, except for doctoral contracts (before September 10), then, once this stage has been validated,
- Administrative registration with your component's doctoral students' school before November 30 of the academic year:

First registration
For a 1st registration, you must"Create an account" on ADUM and submit the required documents
Please note that doctoral students applying for their first year are not affected by the above deadlines
- CV
- Diploma and Notes of Master's degree or equivalent
- Thesis proposal (5 pages maximum)
- Proof of funding (contract, proof of income, employment, etc.)
- Request for co-direction of thesis (if applicable) if co-director is not HDR. If the co-director is not a professor at AMU, please ask your thesis director to contact the Doctoral School.
Registration as a "doctoral student in professional activity
You must submit the following documents:
- Your official employment contract containing the employer's legal details (i.e. SIRET, address, etc.) as well as details of the employee's position, salary, working hours, etc.
- The last three pay slips: working PhD students must earn at least 10,000 euros a year.
- Letter of application
- Curriculum vitae
- Academic transcripts: Bachelor's and Master's grades. If the master's degree is obtained in a non-European university, it is necessary to obtain a "master's exemption" certificate before being eligible for registration. Please note that obtaining this certification is not guaranteed.
- Letter from thesis supervisor: a letter from a professor belonging to the doctoral school confirming his or her agreement to supervise your doctorate.
- Letter from research unit director: a letter of agreement from the director of your thesis supervisor's research unit.
In addition, please note that (1) certain research centers associated with the doctoral school may impose more restrictive requirements for registering as a doctoral student in professional activity (e.g. AMSE): (2) doctoral students in professional activity are considered to be in "continuing education," which means they are part-time doctoral students and must pay the corresponding tuition fees
Your request for registration authorization will then be validated by your Research Director, then by the Director of the Research Unit, then by the Director of the ED. You will then be put in contact with the doctoral student department of your university (see above) to proceed with phase 2: your administrative registration.
Re-registration for 2nd and 3rd year,
by logging on to ADUM to update your profile and submit additional documents. You must update the list of courses you have taken on ADUM. Each time you re-register, the doctoral school will ensure that the number of hours of training you have taken is sufficient to meet the 100 hours required at the end of the 3rd year. Please note that from 2021-2022, the Research Ethics and Scientific Integrity training courses must be taken during the 1st year of the thesis.
Re-enrolment in 4th year
the 4th year is subject to a request for extension (derogatory request). This must be completed on ADUM(attachments), together with a letter from the doctoral student setting out the reasons for the request, and a report from the thesis monitoring committee. The reasoned opinions of the thesis director and the director of the research unit must appear in ADUM. The request will then be considered by the Doctoral School Council. If the opinion of the ED Council is favorable, the request will be validated in ADUM, and the doctoral student will be able to proceed with his or her Administrative Registration with his or her component's Registrar's Office.
Exceptional registration beyond 4th year
These are granted only in exceptional circumstances by the Doctoral Training Director, after consultation with the Doctoral School Council.
The doctoral student must have finalized his/her request for authorization to re-register in ADUM before October 10.
Applications for "Demande dérogatoire de réinscription en doctorat" must be sent to the ED in electronic format. They must include :
- a letter from the doctoral student setting out the reasons for the request,
- the opinion of the monitoring committee (entered in ADUM),
- a list of doctoral courses taken (extracted from ADUM),
- a letter from the thesis supervisor, endorsed by the director of the research unit,
- the thesis in electronic pdf format,
- a provisional timetable for completion of the thesis,
- the names of prospective rapporteurs and jury members.
